How RentRight handles your data
This policy explains how RentRight handles information for shared rent records, receipts, property communication, shortlet listings, bookings, Home Services requests and provider profiles, and related rental tools.

Optional Assistant Features
- Where Assistant AI is enabled and you opt in, your submitted question and a limited amount of recent conversation and authorized account context may be sent to OpenAI to generate a reply. Do not enter passwords, app PINs, private links or sensitive contact details into ordinary AI chat.
- Conversation history, form drafts, action confirmations and optional remembered preferences are separate kinds of data. Some drafts are kept on your device. Account recovery and shared history are available only where their controls are enabled; a local draft is not proof that a rental record was saved.
- Optional public research uses separate consent. Private account details must not be included in search queries. Turning off AI or research prevents future use of that feature; it does not by itself delete previously stored history or provider records.
- Request settings that disable provider response storage are not a promise of zero provider retention. Provider and backup handling must be considered separately when you request deletion.
Account Deletion And Conversation Safety
- Review account deletion details in Profile & Settings. A request being received is not the same as deletion being completed. Shared rental and receipt evidence may need different handling from private account and Assistant data; the notice shown before confirmation explains the applicable handling.
- Where conversation safety controls are enabled, a report includes the conversation reference, your chosen reason and details, and the selected received message when you choose one. Authorized safety staff review reports; the other participant cannot view your report.
- Blocking prevents ordinary conversation messages in both directions. It does not delete shared rental records or remove a tenancy obligation. Existing records remain subject to their normal access permissions.
Home Services: Provider Applications And Profiles
- If you apply to offer services, we collect your business or trading name, contact email and phone number, the services and neighbourhoods you cover, your availability, and any work examples (descriptions and photos) you choose to add.
- Your application, contact details and work-example photos are private while we review them. Only you and authorised RentRight reviewers can see them. Review notes and the evidence reviewers rely on are visible to reviewers only.
- Approval does not publish your profile. Only after RentRight separately switches it on does a public profile show your name, services, covered neighbourhoods, work examples and availability. Your email address and phone number are not shown on your public profile.
- Labels such as “Email confirmed”, “Phone confirmed” and “Reviewed by RentRight” describe only what was checked: a confirmed sign-in email or phone number, and that a reviewer looked at your application. They are not a guarantee of qualifications, insurance or the quality of work.
Home Services: Requests, Messages, Quotes And Addresses
- When you request a quote, the provider you chose sees the service, the neighbourhood and your description, and you can message each other. Quotes, job status updates and messages in a request are visible only to you, that provider and authorised RentRight staff handling support, safety or complaints.
- Your exact address is never shown publicly or in search. It is shared with a provider only if you choose to share it in that request, and you can stop sharing it at any time. We do not take your address from your tenancy records for this.
- If you are a linked tenant, we may show you general information about what your landlord has said they cover, so you can decide whether to report a repair to them first. Your Home Services requests are not shared with your landlord.
- Payments for Home Services are arranged directly between you and the provider. RentRight does not collect, hold or pass on payment for these jobs.
- New request and new quote notifications show only a short, general message and a link. Your email and push settings for Home Services apply.
Home Services: Complaints, Holds And How Long We Keep Information
- You can report a problem with a provider. Reports, and the request they concern, are seen by authorised RentRight staff. The person you report does not see your report.
- Closed requests that did not lead to a completed job, with their messages, quotes and shared addresses, are kept for 90 days after they were closed or cancelled. Requests where the job was confirmed complete are kept for 12 months after completion. Open or active requests are kept while they are active. Reopening a closed request restarts this period from its next closure.
- Applications that are rejected or withdrawn are kept for 90 days. An active provider profile is kept while it is active and reviewed after 12 months without activity. A minimal record of past review decisions, without contact details or evidence, is kept for 12 months.
- Where a complaint, safety concern or legal requirement needs it, we may keep the relevant request or application for longer. Such a hold is limited to what is needed, recorded with a reason, reviewed by a set date, and only authorised staff can access it.
- You can ask us to delete a request’s conversation. Active work is not cut short, and a hold may delay deletion. If you delete your RentRight account, your provider profile is switched off, open requests are closed, and their records then follow the periods above unless a hold applies.
- These are RentRight’s own retention periods for Home Services. They are not a statement of what any law requires.
Information We Collect
- Account details such as your name, email address, role, and authentication information.
- Rental records such as properties, units, tenant invite codes, rent cycles, payment records, receipts, maintenance requests, messages, shortlet listings, and booking details where you choose to use those tools.
- Technical information such as device, browser, session, and basic usage data needed to keep RentRight secure and working properly.
- Analytics and advertising measurement data such as page views, conversion events, campaign source, device/browser details, and cookie or pixel identifiers used to understand product and campaign performance.
How We Use Information
- To create and manage landlord, tenant, shortlet host, and guest experiences.
- To keep shared rental records, receipts, messages, maintenance requests, and invite flows available to the right users.
- To troubleshoot issues, improve the product, prevent misuse, and support onboarding.
- To provide sign-in, payment, notification, hosting, and communication features that you choose to use.
- To measure whether campaigns and product journeys on platforms such as Meta, Google, LinkedIn, and similar ad or analytics services are working.
Payments And Notifications
- RentRight keeps manual payment records and receipts for tracking and proof. Rent transfer arrangements stay directly between tenants, landlords, and property owners.
- When you use an online payment or notification feature, the relevant service provider processes the information required to deliver that feature.
Cookies, Pixels, And Analytics
- RentRight may use cookies, pixels, scripts, and similar technologies to understand site usage, measure signups, and evaluate paid or organic campaigns.
- These tools may be provided by analytics, advertising, hosting, or platform partners and are subject to their own privacy terms where they process data for measurement or security.
- You can control cookies through your browser settings, though some product, security, or measurement features may not work the same way when blocked.
Sharing
- We do not sell personal information.
- We share information only where needed to provide the product, operate hosting/authentication/database services, support users, comply with law, or protect RentRight and its users.
- Landlords and tenants connected to the same rental record may see the relevant shared records, receipts, messages, and unit information needed for that relationship.
- Home Services providers who choose to have a public profile are visible to anyone using Home Services search; see the Home Services sections above for what is and is not shown.
Data Security
- We use reasonable technical and operational safeguards, including authenticated access and service-provider security controls.
- No online service can guarantee perfect security, so users should keep account credentials private and report suspicious activity quickly.
Your Choices
- You can ask us to correct, export, or delete information associated with your account where legally and operationally possible.
- Some records may need to be retained where they are part of a shared rental history, fraud-prevention trail, legal requirement, or active support case.
